Job Description

This is an excellent opportunity for an individual with drive and determination to learn and apply their skills to become a competent dynamic administrator and a key part of the Work skills delivery team. You will provide administrative support across the department to assist the team in providing quality training programmes to our adult learners.

Responsibilities

Duties to include:

  • To provide administrative support to the Work Skills Manager, Coordinator and Tutors to ensure the smooth delivery of our adult provision
  • To manage the accurate input of data on to college systems, including sign-up documentation for new learners, processing of invoices and completion of learning documentation
  • To ensure all learner documentation meets the required conditions of funding and are processed in a timely manner and is accurately inputted to the system
  • To follow up any outstanding documentation and records with delivery staff to ensure learner records are fully up-to-date
  • To set-up, monitor and maintain learner files, ensuring checklists are completed and all records are updated and maintained to meet requirements for compliance, quality audits and inspection
  • To support internal and external compliance and quality checks on learner records to ensure zero tolerance for compliance, quality audits and inspection
  • Liaise with external stakeholders such as the JCP, employers and training venues
  • Source suitable venues for off-site delivery, arrange and book hotels and train ticket for delivery staff where necessary
  • To contribute to the production of reports to management teams, departments, employers, partners and delivery staff as required
  • To contribute to the correct registration and certification of learners to meet the qualification aims and achievements
  • To provide absence/attendance reports and keep employers and staff informed as appropriate
  • To book learners on the appropriate tests and ensure effective communication to the required personnel
  • To support advice and guidance and marketing events to promote the provision and its products and services as required
  • To comply with all legislative and regulatory requirements
  • To take responsibility for one’s own professional development and continually update as necessary, participating in appropriate staff development activities as required including the Professional Development Review
  • To promote a positive image of the College and the work that is carried out across its various services
  • To apply the College’s own safeguarding policy and practices and attend training as requested

Skills Required

  • IT Skills with knowledge of Microsoft packages
  • Able to work flexibly on own initiative under direction
  • Good written and communication skills
  • Able to plan and prioritise own workloads and meet deadlines
  • A good telephone manner

  • Ability to work as part of a team and on own initiative
  • Confident

Qualifications Required

GCSE or equivalents at maths and English Language grade 4/C or above or willingness to work towards.

Training Provided

  • Level 3 - Business Administrator
  • Functional Skills if required 

An apprenticeship allows you to earn a wage, gain valuable work experience and industry specific competence. You will be expected to work towards the Business Administrator Standard, with support from your employer and Learning Unlimited.

As part of your apprenticeship and dependent on your prior attainment you may be required to complete maths, and English Functional Skills which is an integral part of your apprenticeship.  Upon successful completion you will be awarded an additional certificates of recognition for these qualifications.
