Job Description

To provide comprehensive and proactive executive and administrative support to the Chief Executive, Executive Directors, Assistant Directors, Leader of the Council, Cabinet Members and the Lord Lieutenant as part of the Executive Support Team. Support arrangements will be flexible ensuring the needs of the executives & cabinet are continually met.

Responsibilities

This is an exciting opportunity for a bright and dedicated individual.  The job role will include:

  • To support executive officers and members in diary management, e-recruitment and ERP responsibilities. Supporting executive officers and members to maximise the use of their time
  • To be the first point of contact to receive, sort and prioritise communications including email, mail and phone calls, responding to correspondence without direction
  • To redirect correspondence appropriately, and escalate where necessary, ensuring items are acknowledged and responded to in a timely manner
  • To facilitate meetings/conferences through appropriate scheduling and booking of venues, formulating agendas and circulating relevant documents within appropriate timeframes, capturing accurate minutes and actions and managing a forward plan where appropriate
  • To remain conversant with the workloads of senior colleagues and members in order to assist with the management of the work, filed enquiries from all aspects such as service issues, MP enquiries and general enquiries
  • To liaise with members of the public, elected members and other stakeholders on behalf of the Executive Leadership Team, Leader and Cabinet, maintaining confidentiality and following GDPR regulations. Support enquiries and requests that come through, and make sure that actions are completed in expected timeframes.  Maintain and develop positive relationships with these groups
  • To undertake tasks as assigned by the Executive Support Manager, including project support, research and data management
  • Contribute to providing support as a team, completing general administrative duties and comprehensive support across the Chief Executive Office and Leader and Cabinet Office
  • To use innovation and initiative to improve support in the Executive Support Team, including digital innovation and capability, as well as seeking out efficiencies and new ways of working

To demonstrate awareness and understanding of equal opportunities and other people’s behavioural, physical, social and welfare needs.

Occasional evening and weekend work may be required upon request to assist with events organised by the Executive Support Team e.g. Chairman and Lord-Lieutenant events.

There are potential opportunities to progress to a full PA position within the Executive Support team, or an alternative role within the council. 

Reality Check

Occasional evening and weekend work may be required upon request to assist with events organised by the Executive Support Team e.g. Chairman and Lord-Lieutenant events. 

Driving licence and the ability to travel between offices in the county is desirable, but not essential.

Qualifications Required

GCSEs at grades C/4 or above (or equivalent) in maths and English.

Training Provided

Full on the job training will be provided, plus Mandatory training modules including Health & Safety, Fire Safety, Cyber Security, Data Protection, Freedom of Information and Equality in the Workplace.

Training on Microsoft Teams, complaint handling, the different services within our organisation.

As the apprentice you will also study the modules within the Level 3 Business Administrator apprenticeship standard covering the knowledge, skills, and behaviours for this apprenticeship.  If applicable study of Level 2 Functional Skills English and maths.

North Northamptonshire Council are the Training Provider and will assign an Assessor who will support and mentor you and your Line Manager throughout the duration of the apprenticeship.  The Assessor will provide learning resources, ensure timely completion of modules, carry out learning reviews and observations. 

The Assessor will prepare you for the End-Point Assessments required for this standard.  These assessment methods include:

  • Portfolio interview
  • Knowledge test
  • Project presentation
