Job Description

We are hiring for an amazing opportunity to be a Personal Assistant to the Head of the European Press and, as needed, the European Press team. . For the right person, there is the opportunity to secure full time employment and progress to higher level qualifications.

Responsibilities

Duties and responsibilities will include:

  • Email/diary management for the Head of the European Press
  • Continuous review of incoming emails and calls, to ensure the Head of the European
  • Press is immediately aware of everything needing urgent response and attention
  • Appropriately delegate, escalate and manage email, requests and diary on behalf of the
  • Head of the European Press
  • Implement and maintain effecting filing system for the Head of the European Press
  • Conducting research to help shape communications aspects of proposals and pitches
  • Preparing powerpoint presentations for internal meetings/communications
  • Managing press monitoring service and data analysis - analysing and evaluation PR coverage
  • Management of the global calendar of art world and Sotheby's events and communications activities for departmental planning and reference
  • Assist with travel itineraries and expenses
  • Organising and minuting team meetings
  • Attending meetings for the the Head of the European Press (if necessary)
  • Assisting with communications and social campaigns
  • Assisting with organising PR events
  • Monitoring industry news and competitor brands

Future Prospects

  • After your Project Management apprenticeship progress into Project Management, Digital Transformation Manager, Business Development Lead, Programme Manager, Transformation Director and Process Transformation Director or other management roles within your field

Skills Required

  • Excellent communication skills
  • High level of thoroughness and organisation
  • A good eye for detail and the ability to prioritise tasks
  • Competence in a variety of programme (word, excel, powerpoint, photoshop)
  • Discretion with confidential information

Qualities Required

  • Reliable team player and calm under pressure
  • Enthusiasm and flexibility of approach , a can-do attitude
  • Ability to speak multiple languages (desired!)
  • Good analytical mind

Qualifications Required

  • Five GCSE grades C - A* (4-9) or equivalent, including English and maths
  • Level 3 qualification (A level, BTEC or equivalent)
  • Six months' admin experience

Training Provided

Associate Project Manager Higher Apprenticeship Standard:

  • Training on the 18 month Standard Level 4 Associate Project Manager (PM) apprenticeship
