Job Description

Working across a group of medical practices as part of a team ensuring the smooth running of operations, whilst being a focal point of communication between patients & medical staff, this is a fantastic opportunity to gain experience across all aspects of an administrative role whilst studying for a Level 3 Business Administration qualification.

Responsibilities

This is a fantastic opportunity for someone with a keen interest in working within an office environment to gain experience across all aspects of an administrative role whilst studying for a Level 3 Business Administration qualification.

The role will involve working across a group of busy medical practices, being part of the team that ensures the smooth running of operations and being a focal point of communication between patients, doctors and other medical staff.

On a daily basis, the apprentice will be involved with:

  • Dealing with requests via email and the group's interactive website.
  • Booking and managing appointment bookings.
  • Liaising with clinical and admin staff regarding patients care. 
  • Contacting patients.
  • Contacting external agencies where needed to support in a patient’s journey. 
  • Maintaining an efficient surgery/clinic appointment system.
  • Recording and collating data to allow for service development. 
  • Receiving patients and visitors, directing them as necessary. 
  • Registering new patients using systems.
  • Assisting patients in the completion of relevant NHS forms. 
  • Generating patient encounter and a blank prescription for GPs to take on home visits. 
  • Ensuring reception, waiting areas and clinical rooms are kept neat and tidy. 
  • Ensuring that clinical rooms are kept clean, tidy and fully stocked. 
  • Updating noticeboards, leaflets and other literature. 
  • Dealing with all enquiries, referring to the appropriate member of staff.
  • Actioning and updating electronic tasks.
  • Ensuring that data and reports are created and captured to enable service review and development.
  • Ensuring that clinical equipment and PPE levels are maintained, in order to ensure that the services can run efficiently. 
  • Creating and ordering PPE and equipment. 
  • Escalating any matters to the appropriate manager.
  • Reporting any health and safety concerns to the Health and Safety Officer and your line manager. 
  • Receiving and making calls as required to book appointments, assist with queries and other matters as required. 
  • Relaying simple medical information.  
  • Organising and administrating clinics including new registration medicals and other ad hoc clinics that may be required. 
  • Ensuring security of data and information in accordance with the Data Protection Act, the practices’ policies and procedures and other legislation. 
  • Promoting and maintaining own and others health, safety and security, in accordance with legislation and the practices’ health and safety and security policies.

  • Participating in the practices staff appraisal system. 
  • Undertaking any other duties that are considered to be appropriate to the post.

Future Prospects

On succesful completeion of the Apprenticeship, there is opportunity to move into full time employment.

Reality Check

Prior to starting employment, the apprentice will be required to pass a standard DBS check.

The successful candidate will be working across multiple sites as required, so own transport would be an advantage.

  • Ability to work under pressure and work well as part of a team.

Qualities Required

  • The ideal candidate will be an efficient and organised individual.
  • They will be adaptable as they will be working across several different locations.
  • They will need to posses a good degree of compassion and empathy, as well as be able to respect people's privacy, whilst at all times presenting themselves in a professional and mature manner.

Qualifications Required

  • Minimum grade C/4 GCSE Maths and English or equivalent.
  • Good IT Skills and knowledge of Microsoft packages including email, Word and Excel.
