Job Description

This vacancy is for Railway Medical Practice which is part of the Station Medical Group. The role is to Provide an effective reception service to patients. To maintain an efficient and courteous service to all patients, doctors, Primary health care team members and the general public.


Duties and Responsibilities of the Post:


  • To take telephone calls, answering general queries, explaining surgery procedures, making new and follow up appointments, receiving and processing requests for home visits and repeat prescriptions in a consistently friendly and professional manner. To promptly deal with urgent queries
  • To complete all administrative duties carefully and competently maintaining a high standard of work at all times despite the pressures of a busy general practice
  • To ensure confidentiality and adherence to GDPR at all times
  • To develop the ability to receive and direct all patients and visitors on arrival at the practice and to take telephone calls and messages in a courteous, friendly and professional manner at all times
  • To develop the skill of effectively and calmly dealing with irate, upset or distressed patients and members of the public
  • Accepting and recording samples, preparing samples for transmission to pathology or carrying out analysis in-house
  • Dealing effectively and accurately with requests for prescriptions, as detailed in Practice procedures. Implement follow up processes as appropriate
  • Accurate and appropriate use of Practice document management system and IT systems to maintain patient and practice records to a high standard

General Office Duties including:

  • Use of the photocopier, fax machine, franking machine, shredder, scanner and other office equipment
  • Preparing the post and delivery to the Post Office


  • Take accurate telephone messages and disseminate them in a timely manner
  • Liaising with other members of the Primary Health Care Team

Quality/Clinical Governance:

  • To ensure high professional standards e.g. data quality, Data Protection, Caldicott


  • To undertake any other relevant duties appropriate to the grade at the request of the Practice Manager
  • Adhere to the staff regulations
  • Your position brings you into contact with information, which is personal and confidential. Under no circumstances must this information be discussed or divulged. A breach of confidentiality is a dismissible offence

Skills Required

  • Any previous Admin experience would be an advantage but is not required as full training is offered

Qualities Required

  • Applicants must be eager to learn and become a part of a very busy, fast working team

Training Provided

  • The successful candidate will be enrolled on the Level 3 Medical Administration apprenticeship Programme offered by Practice Managers Association.
  • Full training in each part role will be offered, recorded and monitored. Full induction training and e-learning mandatory courses will completed
