Job Description

To provide administrative support for the Marketing and Communications Team, with occasional support for the venue hire and city centre management team, whilst undertaking the Business Administrator Apprenticeship.

Responsibilities

Duties and Responsibilities:

  • To log and resolve telephone enquiries from the general public, internal clients and press
  • To manage the team’s databases, including calling media outlets regularly to check contact details, and make updates accordingly
  • To support the team in preparing communications reports for distribution to service executives
  • To play a key role in managing the Council’s electronic press cutting service and preparing reports as appropriate
  • To provide marketing and administrative support to the team including filing, shared mailbox enquiries, archiving, printing, laminating, mail handling, notetaking, proofreading etc
  • To upload staff e-news articles to the Intranet after the Communications team distribute them
  • To raise purchase orders and provide support with Marketing & Communications Finance system information and processing
  • To assist with maintenance and updating of various Internet and Intranet sites including training to use a Content Management System
  • To provide a general research support function to back up reports and documents produced by the Marketing & Communications Team
  • To assist with administration tasks on the City Life website, including uploading stories after the Communications team produce them and changing adverts according to provided schedules and content.
  • To assist with staffing various external events in the High Street as required, including occasional evening and other weekend work if necessary
  • Assist with data entry to aid maintenance of marketing metrics databases
  • To support the Corporate Sales Executive by providing out of office cover and Salesforce system support
  • To support the delivery of day-to-day activities that support Chelmsford city centre
  • To order and manage the team’s stationery requirements as well as wider office related requirements
  • To manage the Council’s image database and ensure that it is maintained, updated and user friendly
  • To be involved in maintaining and assisting in the Council’s brand guidelines, including corporate templates and digital media
  • To schedule and update internal desktop wallpapers according to requests received by service areas
  • Assist with the distribution of leaflets and other marketing materials where required

Such other duties as may reasonably be determined from time to time by the department.

Future Prospects

  • A permanent position may be available for the right apprentice

Reality Check

You will normally be based at the Civic Centre, Chelmsford, but may be required to work from any other location within the City should circumstances make it necessary.

Flexibility in working hours. Occasional weekend and evening working.

Skills Required

  • Good Knowledge of IT systems and applications
  • Knowledge of communications or marketing work
  • Good writing skills and attention to grammar and spelling

Qualifications Required

  • Essential - GCSE standard with English & Maths at grade 4 (Grade C) at minimum
  • Desirable - Completion of secondary education to A level standard or equivalent
  • Desirable - Full Clean Driving Licence

Training Provided

  • All training will be carried out within the workplace (employer site)
  • You are not required to attend college
  • You will train towards a Level 3 Standard in Business Administration
  • Functional Skills in maths and English may be required
  • The employer will train the candidate on the specific job role
