Job Description

The Legal Administrator (Apprentice) will be directly supporting the legal professionals in this niche practice. Learning tasks on the job while studying for the national qualification in Administration in the legal profession to take the first step in a legal career.

Responsibilities

As an apprentice you are there to support the fee earners while studying for a nationally recognised qualification.

Key Tasks and Duties - Summary:

  • Administration of files
  • To support the team with administrative tasks and action work as delegated by supervisor/partner
  • Document and file management
  • Provide team support with data entry and renewal information
  • Opening new application instructions accurately and within service standards
  • Ensure work issues or problems are reported immediately
  • File closing
  • Any other tasks required to support the team or requested by management

Detail of tasks which would be taken on as your experience and capability grows:

  • Maintaining marketing statistics in an Excel spreadsheet, cross referred to the case management system
  • Managing and ordering replacement office supplies (Stationary, printer cartridges etc)
  • Maintaining and organising office / administrative filing systems, in electronic and paper format
  • Archiving paper files
  • Providing general administration support for external fee earners
  • Collecting and delivering DX mail
  • Liaising with service providers and external agencies
  • Cover for holiday and other out of office absences

Taking and returning telephone calls, making attendance notes, maintaining electronic and paper filing

Data input:

  • Entering case specific data on to the case management system, on receipt of initial accepted enquiries and following further instructions from clients, and as claims progress

Scanning and filing post:

  • Identifying, scanning and naming incoming post, and filing this on to the correct claim histories in the case management system
  • Sending out task list notifications of incoming post to the fee earners, using the case management system

Financial and Banking:

  • Scanning incoming cheques and filing these on to the relevant claim histories on the case management system
  • Sending out task list notifications of incoming cheques to the fee earners, using the case management system
  • Completing and maintaining a ‘payments in record’ and a ‘payments made record’ in Excel spreadsheets
  • Writing paying in slips, scanning paying in slips and cheques on to the claim histories on the case management system. Delivering these to the bank

Additional tasks and duties will include:

  • Supporting tasks as necessary and your manager and members of the team require

Future Prospects

Can lead to a Paralegal Apprenticeship as the next step.

Salary £15,000.

Skills Required

  • Must have good organisational skills
  • Good IT skills
  • A good working knowledge of Microsoft Office packages e.g., Word and Excel is required, together with general keyboard, numeracy and IT skills and experience
  • Excellent communication skills, with a professional telephone manner
  • Previous work experience involving dealing with people is useful but not essential

Qualifications Required

Minimum of 5 GCSEs at grades A*-C/9-4 (or equivalent) including maths and English.

One or more A levels (or equivalent) would be an advantage.

Training Provided

Level 3 Business Administrator apprenticeship standard, which includes:

  • Level 2 Functional Skills in maths and English (if required)
