Job Description

We are looking for a Legal Administration Apprentice who will be able to assist with all support operations and maintain an ongoing service-based relationship with all departments.

Responsibilities

The Legal Administration Apprentice will perform all support operations including: filing, archive management, sending and delivery of fax documents, processing and delivery of all incoming and outgoing mail/messenger and courier items, copying and scanning, and completing general administrative duties as required.

The Office Assistant remains accountable for establishing and maintaining an ongoing service based relationship with all departments and will be able to recognise the needs and expectations of the Firm’s lawyers, translating these into a responsive service.

In line with policies and procedures, key responsibilities include:

Filing

  • Return or add documents to existing client files
  • Work with NetDocs and/or Visual Files system to log and record documents
  • Handle and administer closed files as requested
  • Filing and file housekeeping
  • Understanding and processing wills and other principle documents
  • Maintain all filing and work areas in a tidy and orderly manner
  • Collect hard copy files and documents and return files to shelves

Mail

  • Sort and distribute incoming, sort and stamp outgoing mail
  • Record all incoming/outgoing special mail, messenger and courier companies
  • Arrange all deliveries and collection times with mail, messenger and courier companies

Reprographics/Scanning

  • Maintain equipment to a good working order and troubleshoot problems, place service calls when needed
  • Follow all stock and consumable procedures. Replenish copiers with all consumables
  • Prioritise jobs and run them to meet requirements and deadlines
  • Provide photocopying and scanning as per instructions

Administrative

  • Collect and accurately input relevant information
  • Collect and complete any information required for billing or client charge back data
  • Ensure that job requests are tracked in BigHand before beginning new request
  • Constantly seek ways to improve operations and suggest and implement approved ideas
  • Deal with any enquires in a prompt and efficient manner
  • Accept requests for work, notifying lawyers of estimated completion time as appropriate
  • Communicate with lawyers on job or deadlines issues

Future Prospects

Upon successful completion of the apprenticeship, there will be the opportunity to discuss the possibility of a permanent role within the firm, if appropriate for both the apprentice and the employer.

Reality Check

Salary: £17,000. Working hours: Monday to Friday, 9am to 5pm. Other: Pension, Death in Service x3, Private Medical, 25 days holiday.

Skills Required

  • Basic knowledge of Microsoft Word, Outlook, Excel, PowerPoint
  • Good communication, organisational and team skills
  • Good attention to detail

Qualifications Required

  • 5 GCSEs (or equivalent) at grade C/4 or above, including Maths & English
  • Ideally A Levels or equivalent

  • Maths Functional Skills Level 2 (if required)
  • English Functional Skills Level 2 (if required)
