Job Description

Working in a large successful secondary school North Leamington School is part of the Elm Tree Multi-Academy Trust. This role will offer the HR Manager support with HR administration working across all aspects of the employee lifecycle,

Responsibilities

What will the apprentice be doing?

Key Tasks and Responsibilities:

  • To provide administration support for all HR matters to a high-quality standard and within agreed timescales and support the People Services Team with basic queries.
  • To take first line response to phone queries and provide basic advice where appropriate.
  • To process and produce letters, forms and reports in a timely manner.
  • To support the whole employee life cycle with administration.
  • To monitor the HR mailbox ensuring that emails are responded to in a timely manner or that the email is escalated to the appropriate team member.
  • To liaise with the Finance and Payroll Team and Payroll Provider in order to resolve basic HR queries that interface with pay
    To input and maintain HR system data ensuring that all employee records are accurate and updated.
  • To process annual leave and leave of absence requests.
  • To assist with data input when the department moves to digital files.
  • To input into the HR Cover system and assist Supply Staff arriving into school, if support/deputising is required.
  • To assist in the day to day work of the team ensuring all case work is saved onto the employee’s personnel folder.
  • To maintain spreadsheets, such as absence recording using excel and run HR reports working with the Data Team for guidance
    To attend meetings as note taker as required and to type up any meeting notes as required.
  • To maintain confidentiality at all times and ensure that letters or forms do not breach data protection legislation.
  • To provide administrative support for the recruitment process from start to finish such as inviting candidates to interview and assisting in recruitment campaigns.
  • To assist with the onboarding of people and their induction, following up on references, using the DBS portal and conducting statuary onboarding checks.
  • To comply with safer recruitment and safeguarding governed by the Single Central Record.
  • To process purchase orders and invoices for HR related goods and services.
  • To ensure that all internal HR processes, procedures and people policies are adhered to.
  • To undertake filing, shredding and archiving in accordance with the GDPR policy.
  • To photocopy HR related documents where required.
  • To undertake any other duties necessary for the effective operation of the department consistent with the nature of the post.

 

What training will the apprentice take and what qualification will the apprentice get at the end?

As a HR Support Apprentice with BPP, you will complete the HR Support Level 3 Advanced Apprenticeship, which is aligned with the Chartered Institute of Personnel and Development (CIPD). Upon completion you will be awarded the CIPD Foundation Certificate and you will be able to apply for Membership of CIPD.

The apprenticeship will be delivered through a blend of live online learning, pre-recorded lectures, and face to face inductions and masterclasses.

What is the expected career progression after this apprenticeship?

The ultimate aim of the Academy would be if the job role allowed for a further apprenticeship qualification choice to be an option, whilst not mandatory. Also at the end of the first apprenticeship, the opportunity of being offered a permanent position to the post holder if they were successful in both their L3 and employment on the job depending on performance.
