Job Description

We are currently seeking an Apprentice to provide administration support to the HR department and provide cover to Reception when required. For the right person, there is the opportunity to secure full time employment and progress to higher level qualifications.

Responsibilities

Duties and responsibilities will include:

Administration Processes:

  • References – providing all company references for leavers, banks, letting agents, etc for employees.  Check with employees first that they consent to the reference being sent
  • New starter references – be responsible for sending out reference requests for all new starters 
  • Chase when necessary
  • Keep a tracker
  • File all references in the appropriate place and ensure that any unsatisfactory references are escalated
  • Absenteeism - support the whole HR team with logging sickness absence calls onto the HR system
  • Induction Packs – collating the induction packs, ready for new starters
  • New Starter Personnel Files – collating the information and setting up personnel files for all new starters and ensuring the correct data is on file
  • Employee Contracts – scanning and filing all new starter contracts once signed by all relevant parties. Send contracts to staff in the post when instructed
  • Probations - responsible for producing letters confirming the outcome of the probationary process for New Starters or promotions
  • Check level and any sensitivities first
  • Assist HR Co-ordinator with leavers process, filing documentation, sending out link for exit interviews and adding to the tracker spreadsheet
  • Assisting whole HR team with general administration duties including scanning, filing, photocopying, updating spreadsheets and typing documentation as required

Reception Cover:

  • To greet all visitors to the company ensuring that visitors badges are prepared
  • To answer incoming calls
  • To liaise with Security with regards to unexpected visitors due on to the site, deliveries, collections and general matters in which they need to be informed
  • Sorting and dispatching of incoming mail, franking of outgoing post
  • To cover periods of sickness and holiday for the Receptionist and carry out associated duties

Projects:

To provide administration support to the wider HR function with projects across the business. Projects may include but are not limited to:

  • Induction and Onboarding
  • HR Database
  • To be involved Any other HR related projects

Payroll and Admin:

  • Assisting the HR Assistant and HR Advisor in the monthly payroll process, ensuring all documents are scanned and saved in the relevant Personnel and Payroll files
  • Assist other areas of the business with any other ad-hoc admin duties

Other duties:

  • To co-operate with other such duties as required, at request of HR management

Future Prospects

  • Full training will be given in this challenging and varied role to ensure that the apprentice has the skills and expertise to become a permanent member of the team upon completion of the apprenticeship programme. Wage reviewed and increased based on performance

Skills Required

  • Knowledge of MS office packages
  • Knowledge of Outlook email
  • Excellent written and verbal communication skills
  • Strong organisational skills

Qualities Required

  • Professional appearance as they will be required to greet guests, provide a triage service to staff entering the HR department etc.
  • Takes responsibility and pride in own work
  • Flexibility – they must be able to change focus as and when necessary
  • Ability to work on own initiative and works independently as well as supporting the HR team

Qualifications Required

  • Maths and English at Grade 4/C (or equivalent) and above desirable although not essential

Training Provided

Level 3 Business Administrator Apprenticeship:

  • This apprenticeship programme is delivered with a blended learning approach and includes a mixture of onsite tutor visits and online tutor led sessions
  • All delivery is completed in the workplace and you will not need to attend any off-site training
