Job Description

Supporting core business support and administration across services within Encompass LATC. This will include Housing, Adult Social Care, HR, Finance and Business Development for day to day tasks such as admin support, but will include opportunities to be involved with projects and business development.

The position of Apprentice Business Support Officer plays a key role in realising this ambition by supporting our colleagues across internal services - Housing, Adult Social Care, Finance, Digital and Business Development, as well as liaising with external contacts.

To assist operational practice by:

  • Acting as a flexible and integral member of the team, providing administrative and business support

Responding to a wide range of enquiries from external and internal customers

Main Duties and Responsibilities
To provide administrative support and input data on the organisational computerised
● To field and allocate incoming enquiries, telephone calls and emails to appropriate members of staff or teams
● Monitor and respond to Helpdesk tickets (including password resets)
● Carry out data input, processing and monitoring
● Provide meeting, diary administration and administrative support
● Take, draft and distribute meeting minutes
● Support the team with the preparation of statistical, performance and management information
● Contribute to the delivery of projects, working with Project Managers and/or other services to coordinate and support on actions required
● Contribute to Human Resources’ support and administration
● Support finance officers in the recording and processing of scheduled invoices
● Assist with processing applicants information to support the housing teams
● Maintain confidential client records, inputting and extracting data
● To support with carrying out file and system audits on a scheduled basis
● Support with record management, storage and/or archiving of documents
● Support with postal requests (Internal/External)
● To contribute to the development of the service and attend team meetings & briefings
● To respond to routine and non-complex enquiries sensitively and efficiently, ensuring clients are signposted effectively.

Apprenticeship Programme:  Business Administrator
Level: 3
Duration: 15 months
Course Type: Apprenticeship Standard

Apprenticeship Delivery: Work based qualification. A tutor will visit you every 4-6 weeks in your workplace.

Units Covered:
The Apprenticeship programme is made up of different units.  Apprentices will be assessed on their knowledge, skills and behaviours throughout the apprenticeship and tracked online using an e-portfolio.

These are grouped into 3 themes which complement each other and are as follows:

1)    Core Business & Administration

2)    Managing Self & Personal Skills

3)    Using Resources & Achieving Results.

After each theme is complete, a Mock End Point Assessment is carried out to ensure apprentices are prepared for the End Point Assessment at the end of the programme.

After a minimum of 372 days and successful delivery of the programme, the end point assessment will take place. The end-point assessment is a synoptic assessment of the skills, behaviours and knowledge that have been developed throughout the apprenticeship.

End-Point Assessments will involve an independent assessor carrying out final assessments with the apprentice, to ensure that the competences and learning within the ‘Apprenticeship Standard’ have been met. 

Apprentices can achieve a pass, merit or distinction dependent on how well they perform in their End-Point Assessment.

Functional Skills: 
Apprentices also work towards a Level 2 qualification in English and maths in the first half of the programme if they have no prior exemption (GCSE’s  A – C or equivalents in English and Maths).

What is the expected career progression after this apprenticeship?

There are opportunities that arise within Encompass throughout all services. Being involved with all service areas, business support gains an insight to these and their experience may be beneficial in any progression.

Reality Check

Role is solely office based Covers a lot of different service areas, but full training will be given and workloads are well managed amongst the team.
