Responsibilities

This is an excellent opportunity to complete an Intermediate Level (Level 2) Apprenticeship in Business & Administration and gain valuable administration and customer service experience within an acute hospital setting.

This apprenticeship vacancy would be suitable for a school leaver or young person who has an interest in pursuing a career in customer service.

The Apprentice would be managed by the Senior Sister and be supported by the existing ward clerks, to carry out reception and administration duties including:

  • Providing an efficient, friendly and courteous front of house service to all patients and visitors attending the department
  • Be smart, professional in appearance and keep the reception work area tidy
  • Arrange appointments and any associated administrative duties
  • To record patient attendances and outcomes accurately and timely, in accordance with departmental policy
  • To use verbal and non-verbal communication tools to communicate effectively with patients/carers

The Apprentice would be expected to be professional, treat everyone with kindness and respect, and have the confidence to communicate with patients and healthcare professionals in order to provide a friendly, efficient and courteous service to all visitors attending the Department.

Throughout the apprenticeship journey you will:

  • Be supported in the workplace by a mentor
  • 20% “off the job training” to develop and enhance your learning
  • Be in regular contact with the Training Provider and the Apprenticeship & Careers Team
  • Have access to a virtual learning platform
  • Receive support from your Training Provider, Manager/Mentor and the Apprenticeship & Careers Team
  • Attend workshops where you will have the opportunity to discuss and share

Reality Check

  • Clear communication with patients and general public who may be anxious about clinical and non-clinical matters
  • Working in a busy environment
  • A requirement to physically, lift, move, retrieve and file medical records
  • Occasional exposure to verbally aggressive patients and visitors
  • Prolonged periods of time working at a VDU
  • Occasional use of audio typing equipment

Skills Required

  • ​​​​​​Basic knowledge of standard range of Microsoft Office Programmes
  • Good communication skills both written and verbal and enthusiasm to contribute to the Teams to deliver a quality patient experience
  • Attention to detail and accuracy
  • Ability to work under instruction, quickly and accurately
  • A professional telephone manner
  • Ability to learn new skills including use of in-house patient administration system
  • Ability to work independently, on own initiative and as part of a team
  • Ability to work towards intermediate level competence in standard range of Microsoft Office Programmes, especially Excel and Access
  • Knowledge of general office duties
  • Reception or customer facing skills / experience
  • Ability to work flexibly and prioritise work to meet deadlines

Qualities Required

  • Have responsibility for their personal development and completion of the Level 2 Apprenticeship
  • To get on well with people at all levels, communicate and work effectively as a team member
  • Project a professional appearance in behaviour and manner of dress

Qualifications Required

5 GCSEs (or equivalent) including English at grade C/4 or above and maths, at grade D/3 or above.

Training Provided

The apprentice will be expected to complete the elements of the apprenticeship over a 12-month timeframe.
