Job Description

A unique chance to both train and work as an Apprentice Business Administrator in the Jobsmart Office, part of Peterborough College. As well as developing the skills required for the position, you will also complete the Apprenticeship Standard which comprises Skills, Knowledge and Behaviours that must be demonstrated and achieved prior to the EPA.


Your main duties and responsibilities will include, but will not be limited to the following areas:

  • Provide effective and timely personal assistance and administrative support
  • Demonstrate professionalism and maintain discretion and confidentiality at all times
  • Receive, respond and deal with incoming telephone calls, emails, correspondence and queries, initiating responses
  • Organise meetings and manage diaries
  • Prepare necessary papers for meetings
  • Where necessary take minutes for minutes
  • Provide a reception service for the department
  • Collect and distribute the team’s post
  • Demonstrate using a range of MS Office IT packages
  • To maintain documents, files and records, including maintenance of archiving
  • To monitor, purchase and store stationery
  • To raise purchase orders (if required)
  • Delivering, promoting and supporting good practice in relation to equality, diversity and inclusion, Safeguarding and the Prevent duty, ensuring compliance with College policy and procedures
  • Promoting and consistently exemplifying both internally and externally the values and behaviours of the College’s vision
  • Responsibility to co-operate, and for promoting and maintaining safe and healthy working environment and own health and safety
  • Commitment to safeguarding and promoting the welfare of young people, and vulnerable adults Amended October 2019
  • Undertake any other duties and responsibilities commensurate with the level of the role

  • Excellent administrative skills
  • A good working knowledge and demonstrable competence of Outlook and word-processing (typing)
  • Ability to work on own initiative or as part of a team
  • Ability to organise work under pressure and to meet deadlines
  • Confidence in dealing with people of all ages and abilities, face to face and over the telephone
  • Ability to monitor and compile data from various sources
  • To be able to recognise and implement the need for professional confidentiality

Qualifications Required

  • Minimum of five GCSEs at Grade C/4 or above (or equivalent) including English Language and mathematics
  • AS or A Level desirable
  • Applications would be welcomed from candidates with work experience in administration and customer focused environments however previous experience is not essential to apply
