Job Description

We are looking for a Business Admin Apprentice to provide a support service for all colleagues and the Finance Manager. The apprentice will ultimately be responsible to the Senior Partner and Practice Manager. Some of the important duties include: daily bank checks, composing correspondence, admin duties for staff, and managing filing systems.


Support staff should manage schedules and perform other administrative work which will include managing correspondence, monitoring deadlines for yourself and others, data entry tasks, along with handling general office duties.


  • Using a variety of software packages, such as Microsoft Office, to produce correspondence and documents and maintain presentations, records, spreadsheets and databases
  • Process a variety of identification checks using the programmes available: Experian / Lawyer Checker / Fraud Checker / etc, and ensure the correct paperwork is completed and recorded via the firm’s case management system - 24 hour turnaround from the time of arrival
  • Monitor client and office bank accounts and match paperwork with entries. Add information to spreadsheets accurately for the purpose of monthly close down and yearly accounts audits
  • Review completion statements for conveyancing matters. Check each value, ascertain whether all disbursements and payments have been recorded onto the statement, and that the totals are 100% accurate. Check spellings, case management reference numbers and the formatting of the document is presentable
  • Understand and work with others to use initiative when checking what payments can be authorised, how, why and when. Complete necessary office vouchers (receipt / payment / internal transfers / write off / same day payments - CHAPS)
  • Maintain accurate filing records of banking information, client and office paperwork and any administrative paperwork in relation to your department
  • Work intensely with the legal case management system to be able to accurately relay financial and other information to colleagues. Require ability to record information and navigate your way through with ease - case management system support available
  • Create new Land Registry / Infotrack / Practical Law / TFB accounts and reset forgotten passwords
  • Comply with money laundering and cyber security procedures
  • Assist with Health and Safety protocols and procedures to ensure compliance with external organisations such as safety, awareness, risk assessments and remedial actions
  • Liaise with lawyers in respect of discrepancies or inaccuracies with their paperwork or with supplier documents
  • Collect finance related paperwork from Senior Partner / Practice Manager / Staff
  • Liaise with the Finance Manager to identify accounts that require closing and archiving
  • Assist in the preparation, completion and distribution of client invoices
  • Using content management systems to maintain internal databases
  • Attending meetings, taking robust minutes and keeping notes
  • An honest approach to handling cash transactions and financial management, and understanding the impact of being a driving force for quality
  • Assist colleagues with wireless card payments
  • Maintaining stationery and equipment. Notifying Practice Manager of depleting supplies and additional resources needed to perform duties
  • Undertaking administrative tasks such as ordering equipment / stationery supplies, and reporting and rectifying faults and enquiries
  • Ensure all files within Accounts and the firm are regularly maintained and are in accordance with our policies on file maintenance
  • Photocopying and printing various documents on behalf of colleagues
  • Filing legal, administrative and financial documents in date order
  • Scanning documents to various computerised systems

Reality Check

Skills Required

  • Recent experience in providing administrative services within a computerised environment
  • Recent typing and file management skills
  • Good customer service skills - answering the telephone and politely dealing with queries. Assisting clients to positive outcomes
  • Ability to communicate effectively with team, staff and clients and suppliers
  • Ability to initiate innovations and improvements to service delivery
  • Excellent interpersonal skills
  • Must be willing to be flexible in meeting the needs of the firm

  • Must be willing to use and maximise the use of ICT

Qualifications Required

  • Minimum of 4 GCSEs, including English and Maths
  • A-Levels or equivalent
