Responsibilities

You will help to assist in the running of the office, making sure office supplies are available and that mails, emails and other documents are distributed (this will include the uploading of documents to the company database for Consultants). You will become conversant the company’s services and when clients visit the location or is guest to the business you are able to promote the company to them sufficiently. You will be mainly doing administration of company social media and digital marketing as this function is developed and evolved.

Your main duties will include:

  • Uploading, formatting, updating candidates details onto database
  • Stationary orders and office supplies (ink etc)
  • Mailshots (Print , collate and stuff)
  • Franking machine and top up maintenance
  • Vacancy letters (check company on credit safe and get company number)
  • Constant updates of database (closedown letters etc)
  • Uploading adverts onto websites (also updating websites)
  • Answering phone and taking messages
  • Security (front door locked)
  • Post duties (ensure all post is franked by 3:50 pm each day)
  • Filing and prioritising workload 
  • General tidiness of the office (filing up sheet trays and printers)
  • Managing diary systems (meetings, pool car, middle room)
  • Welcoming clients and candidates etc. (tea/coffee)
  • Look presentable, personally and the office
  • Health and Safety (accident book – ensure information is up to date)
  • Shredding
  • Checking emails on a daily basis
  • Excel (records)
  • Monitor holiday and sickness

Future Prospects

This role will evolve into our company Social Medial and Digital Marketing Administrator, once both initial training and the company online presence has been developed

Reality Check

All candidates are advised to check that they are able to get to the setting on a daily basis as it is in a rural area. A car driver is desirable due to the location and infrequent buses but not essential.
