General admin duties such as answering the phone, recording data, keeping files updated, photocopying for all staff etc. For the right person, there is the opportunity to secure full - time employment and progress to higher level qualifications.

Responsibilities

Duties and Responsibilities will include:

  • Review classroom registers and follow the school’s pupil absence management procedures, where necessary
  • Assist with the sale of uniforms by communicating prices to parents and answering their questions
  • Keep up to date with the school events calendar so that any enquiries can be answered quickly and accurately
  • Be a point of contact for parental complaints and, if they cannot be easily resolved, pass these complaints on to the relevant member of staff, e.g. the Headteacher
  • Maintain confidentiality and data protection when handling potentially sensitive tasks
  • Request records from pupils’ previous schools, where necessary
  • Provide any admin support for extended services offered by the school
  • Collect relevant information for school transfers, such as the education record
  • Maintain an up-to-date and accurate inventory of stock, and place orders as required
  • Employ an effective, thorough and accurate method for checking delivered stock, returning unwanted items, and arranging any repairs or servicing as soon as possible
  • Maintain an accurate system for collecting, recording and providing receipts for a variety of incomes – e.g. in relation to school uniforms, school meals and voluntary contributions – organising reminders for payment wherever required, in accordance with school procedures, and updating the school’s financial system where directed
  • Ensure that relevant staff are notified about any new pupils arriving at the school during the academic year, e.g. teaching staff
  • Keep a log of any pupil records that have been sent and received
  • Ensure school application forms are collated and check that they have been completed satisfactorily, including the provision of emergency contacts
  • Write and dispatch professional letters and emails
  • Supervise outgoing post and packages, including weighing and affixing postage labels
  • Keep records of all courier deliveries, including post, and ensure deliveries are correctly and safely stored prior to distribution
  • Maintain the visitor and contractor sign-in book and ensure all visitors and contractors are correctly registered upon entry and exit
