Job Description

Are you looking for a rewarding career? Gloucestershire Hospitals are looking to recruit an Apprentice Business Administrator.

Responsibilities

What will the apprentice be doing?

  • Corporate induction
  • GHNHSFT mandatory training
  • Department based vocational assessments
  • Progress review meetings
  • To undertake training as required and agreed with the mentor, supervisor and external assessor and complete the competencies relevant to the work area / department
  • Undertaking typing tasks as requested by the Secretary Supervisor
  • Filing letters and reports into patient medical notes within the Department
  • Maintain all incoming and outgoing mail and ensuring incoming post is distributed and outgoing mail is franked accordingly
  • Request and return notes, including using the electronic tracer system
  • Clerical tasks as required i.e. photocopying, answering the telephone etc, to support team members
  • Maintain electronic and hardcopy filing systems in an organised manner, ensuring confidentiality
  • Comprehensive use of in-house patient administration system to check information on patients, outpatient appointments and results etc
  • Undertake work when requested by the Secretary Supervisor as well as prioritising workload appropriately
  • Communicate inter-departmentally with all levels of staff, MDT functions, GPs, patients and their relatives
  • On the request, from the Supervisor, you may be required to cover colleagues during absences / annual / sick leave etc. You may also be required to undertake job rotation for cross cover as well as for development and training purposes
  • Undertake any other appropriate duties, commensurate with the role as required at the request of your line manager
  • To complete all training in accordance with Trust policy
  • To comply with Trust and Departmental policies and procedures e.g., Health and Safety at Work Act (1974), Manual handling, Data Protection Acts and patient confidentiality at all times. This will include demonstrating compliance with the terms of all safeguarding policies and processes relevant to the safeguarding of adults and children in the care of GHNHSFT and to undergo regular mandatory training concerned with safeguarding matters
  • To be flexible, with the ability to alter activities and priorities as the need arises
  • To participate fully in personal appraisal and development review process, maintain and complete the Apprenticeship portfolio
  • Undertake any other appropriate duties commensurate with the role, as required at the request of your line manager

What training will the apprentice take and what qualification will the apprentice get at the end?

The Apprentice will be expected to complete the elements of the apprenticeship within the 18 months’ timeframe. This apprenticeship includes:

  • Level 3 Business Administrator apprenticeship standard - assessed through end point assessment
  • Knowledge - The organisation, values of their skills, stakeholders, relevant regulation, policies, business fundamentals, processes, external environmental factor
  • Skills - IT, record and document production, decision making, interpersonal skills, communications, quality, planning and organisation, project management
  • Behaviours - Professionalism, personal qualities, managing performance, adaptability, responsibility
  • Functional Skill English and Maths if not previously attained Level 2 equivalent before
  • ICT Skill Sessions
