Job Description

We have a Business Admin opportunity with a busy construction company.

Responsibilities

We have a Business Admin opportunity with a busy construction company. The role will include duties such as:

  • Receiving copies of project purchase orders
  • Cross checking delivery notes
  • Liaise with suppliers for deliveries due and shortages
  • Follow up supply chain deliverables
  • Submit approved delivery note to office accounts dept
  • Maintenance of project drawing files & information
  • Ensure that hard copies of company files are current and up-to-date, when new information is issued and providing copies for the project team to review prior to filing
  • Monitor the project health & Safety files ensuring timely reviews of documents are carried out
  • Provide clerical support to the project including word processing, photocopying, filing and post duties
  • Assist with the development and maintenance of filing and administrative systems operating in the project to include the collation of materials, as required
  • To help ensure data management systems are kept up to date
  • Maintain up-to-date central electronic filing records of all relevant documentation
  • Using the data management system to transfer and retrieve data as necessary
  • Assist with production of reports and documents to an acceptable standard, as required
  • Take and record messages accurately
  • Deal with incoming and preparation of outgoing mail including electronic mail
  • Assist with preparation and submission of good received returns and weekly plant returns
  • Assist in the submission of project timesheets for all Graham Site staff
  • Provide administrative support to staff as requested
  • Provide support in managing hospitality for on-site meetings
  • Undertake any other duties that may be assigned from time to time

Skills Required

  • Possess strong communication and organisational skills
  • Possess good IT skills with experience in using computerised accounting systems and a working knowledge of excel
  • Be a good team player

The successful candidate must be punctual, motivated and have a positive attitude. Good communication skills will be essential so that you can establish and build effective working relationships with those around you both at work and on your course.

Qualifications Required

Minimum of 5 GCSE's or equivalents including maths and English (grade 4/C or above).

Training Provided

The apprentice will be working towards a Level 3 business administration apprenticeship qualification. If the successful applicant does not have Grade C / Grade 4 in English and Maths GCSE the apprentice will need to complete Functional Skills in English and Maths alongside their apprenticeship training
