Job Description

Responsibilities

As an Apprentice Proposals Administrator what will I be doing?

To provide administrative duties to the Business Development and Proposals Team in support of work winning activities. Ensure the best possible level of customer service to internal and external customers with regard to all clerical duties described below. Contribute to the efficiency of the team /organisation, ensuring that all relevant Company Group & Sector Specific Procedures and Policies are met, in accordance with the Integrated Business Management System.

General Administration:

  • Administrative support to the Business Development (BD) and Proposals department(s) – including producing business documents using standard and bespoke templates
  • Printing for pre-qualification questionnaires (PQQs) and Tenders
  • General administration, including resolving any administrative issues, communicating by email and phone with internal and external customers, typing letters using standard word processing software
  • Maintenance / Upkeep of our Database / Information Library
  • Communication with Business Sectors to obtain up to date information and project cases studies for the Database
  • Organising meetings
  • Maintaining levels of office supplies in communication with reception

Assisting Expression of interests (EOI) / PQQs / Tenders / Post Tender Interviews

  • Creation of EOI and PQQ folders on the company server
  • Downloading/Checking/Filing of PQQ documents and correspondence
  • Communication with the Tender Administration Team
  • Support for the production of customer focused PQQs and Proposals Documents
  • Support for the production of customer focused and corporate PowerPoint Presentations
  • Maintenance / Upkeep of our Database / Information Library
  • Supporting the Proposals and Creative Lead in the production of Corporate Brochures and Graphics

Qualifications Required

  • GCSEs maths and English at grade C (4) or above (or equivilent) is essential
  • AS or A Level qualifications preferred

Training Provided

Level 3 Business Administrator Apprenticeship Standard.

This apprenticeship is delivered through work based learning, this means that all training is done at the workplace eliminating the need to attend college. The successful candidate will be allocated an assessor who will visit on site every 4-6 weeks and deliver all of the training to gain the qualification and provide the resources to complete work between visits.
