We have a fantastic opportunity for an apprentice Legal Support Assistant to join our Private Client team. You will work in conjunction with the support staff in the Private Client Department and you will mainly support the PA to the Head of the Department. You may also be asked to support the general Administrative team including paralegals.

Responsibilities

As our Apprentice Legal Support Assistant,  you will work in conjunction with the support staff in the Private Client Department and you will mainly support the PA to the Head of the Department. You may also be asked to support the general Administrative team including paralegals.

Excellent knowledge of Microsoft Office packages, and a strong command of English spelling, punctuation and grammar are both essential. An audio typing speed of 65+ wpm and experience of the Proclaim case management system will be a distinct advantage.

Key Duties and Responsibilities of the Apprentice Legal Support Assistant will include:

  • Collecting, opening and distributing the DX (Document Exchange) and Royal Mail post
  • Delivering/collecting items by hand for/from other solicitors/nearby businesses
  • Photocopying and Scanning as directed
  • Administering filing, which will include daily filing and also the opening, closing, storage and retrieval of client files in accordance with company procedure. Maintaining office systems, including data management and filing
  • Checking regularly and maintaining the stock levels of stationery, advising when orders are required
  • When necessary taking client calls and booking appointments and meeting rooms
  • Making appointments, arranging meetings and to managing diaries, as required
  • Attending clients both in person and on the telephone to provide support in a professional and friendly manner in keeping with the firms’ standards for client care
  • Assisting with project work including developing and maintaining a database of wills and deeds, locating, retrieving and filing from the system as required
  • Typing of information from manual documents or digital dictation and voice recognition upon direction of the Head of Department
  • Carrying out miscellaneous general office duties during the course of the day as reasonably requested and any other ad-hoc duties

 

Future Prospects

JMW support and encourage professional development. If you perform well in your job role and on the apprenticeship there is the possibility of progressing into another role. Although this is a support role, we are proud of our track record career progression at JMW and many members of our support teams have progressed into more senior administrative roles and fee earning roles.

Skills Required

Essential:

  • T Proficient
  • Excellent command of English spelling, punctuation and grammar (we may test at interview)
  • Excellent word processing and audio typing skills
  • Excellent customer service skills, including professional and friendly telephone manner
  • Good time management skills

Desirable:

  • Knowledge of the Proclaim or other case management system
  • Audio typing speed of 65+ words per minute
  • Experience of working with precedent documents
  • Experience of digital dictation, ideally Big Hand

Qualifications Required

5 GCSEs at grades 4 to 9 (A to C) or equivalent including maths and English
