Job Description

We have an exciting opportunity for you to start your career as an Apprentice HR Administrator in the Human Resources Department. The role will be based in Central Oxford where you will join a team of 12. Responsibilities

The role

You will work as an Apprentice HR Administrator. You will be required to complete a two year training programme that will cover all aspects of the role and will be delivered through in-house training, as well as day-release or other distance learning methods delivered by Abingdon & Witney College. You will complete a Level 3 Business Administration Advanced Apprenticeship which is within the Business Administration sector and you will gain an Advanced Business Administrator Apprenticeship Standard Level 3 qualification.

College attendance and successful completion of these studies is an essential requirement of this Apprenticeship.

The successful candidate will have an aptitude for business administration. Through this appointment, they will gain a practical insight into the Human Resource function within the University Administration and Services (UAS) departments and the administration required to support an employee and the business throughout the employment lifecycle. The HR department is a critical function and provides professional services to a wide variety of employees, key stakeholders and external clients to facilitate the delivery of the Department’s objectives.

The successful applicant will work very closely with the HR Administrators and HR Officer to provide administrative HR support to our departments. This is a generalist role, which means that you will have the opportunity to learn about and practice the complete range of HR services, such as recruitment, induction, contract preparation, payroll, reward and recognition and employee relations issues.

Responsibilities

  • Learn a range of general office administration tasks, including IT skills (Word, Excel and Outlook), photocopying, scanning, filing, telephone skills and general clerical support. You will learn how to set up monitoring systems, draft and send out correspondence, and how to respond to enquiries in a helpful and professional manner (via face to face, email and telephone). You will learn to plan and manage your own workload
  • Gain an understanding of GDPR as it relates to your work and the HR Office
  • Learn about the University Administration and Services (UAS) Establishment Control process and support the Recruitment Panel, including raising staff requests, processing business cases and job descriptions
  • Learn about managing our fixed term contract processes and support the monitoring of these across UAS
  • Learn about recruitment processes and assist the UAS recruitment team with various aspects of the recruitment cycle
  • Learn about payroll processes and support the UAS payroll team in processing new starter paperwork, changes to pay, leavers and associated paperwork such as contracts of employment and variation letters
  • Learn about the University’s HR Information System (CORE) and become familiar with reviewing information, running reports and updated employee information
  • Undertake other duties as may be assigned that are commensurate with the grade and responsibilities of the post

Future Prospects

On completion of this two year fixed term contract there may be other opportunites within the university for the right person.

Reality Check

Any new person applying for apprenticeship roles where Abingdon and Witney College deliver the training will be required to attend an Apprenticeship Induction Day at Witney or Abingdon campus.

This will consist of a series of initial assessments (required prior to an apprenticeship offer), completion of essential paperwork, the opportunity to find out more about the apprenticeship process, the training included, and a forum for your questions.

As a new apprenticeship applicant, you will only have to undergo this process once.

  • Good communication skills both orally and in writing
  • Ability to work accurately with good attention to detail
  • Understand and demonstrate customer service skills when liaising with customers both internally and externally, face to face, on the phone and in writing
  • Able to demonstrate an aptitude for the skills taught in the Apprenticeship (for example through work experience, qualifications or references)
  • IT literacy, including use of Microsoft Office and demonstrable aptitude for learning new IT systems
  • Ability to work effectively as part of a team; willingness to learn from others, sharing information and communicating in a way that encourages mutual co-operation and understanding
  • Experience of working in an office environment, in an administrative role would be useful

Qualifications Required

Have a good standard of general education at GCSE level, including English and maths (Grade 4/C or above) or equivalent level of qualification.

A GCSE in IT or Business Studies or equivalent qualification would be desirable.

Business administrators have a highly transferable set of knowledge, skills and behaviours that can be applied in all sectors. This includes small and large businesses alike; from the public sector, private sector and charitable sector. The role may involve working independently or as part of a team and will involve developing, implementing, maintaining and improving administrative services. Business administrators develop key skills and behaviours to support their own progression towards management responsibilities.

The responsibilities of the role are to support and engage with different parts of the organisation and interact with internal or external customers. With a focus on adding value, the role of business administrator contributes to the efficiency of an organisation, through support of functional areas, working across teams and resolving issues as requested. The flexibility and responsiveness required allows the apprentice to develop a wide range of skills.

The business administrator is expected to deliver their responsibilities efficiently and with integrity – showing a positive attitude. The role involves demonstrating strong communication skills (both written and verbal) and adopting a proactive approach to developing skills. The business administrator is also expected to show initiative, managing priorities and own time, problem-solving skills, decision-making and the potential for people management responsibilities through mentoring or coaching others.

You will work as an Apprentice Administrative Assistant. You will be required to complete an initial 2‐year training programme that will cover all aspects of the role and will be delivered through in‐house training, as well as day‐release or other distance learning methods delivered by Abingdon & Witney College. You will complete a Level 3 Business Administration Apprenticeship and you will gain a Diploma in Business Administration qualification. 

College attendance and successful completion of these studies is an essential requirement of this Apprenticeship.
