Job Description

We are looking for an enthusiastic individual who will be highly motivated to develop their knowledge, skills and ability to work as an active member of the ICS People Function.

Responsibilities

What will the apprentice be doing?

  • Sorting and prioritising all incoming correspondence,distributing as appropriate
  • Acting as point of contact for the People Teams, providing a friendly, helpful and supportive service
  • Building good working relationships with colleagues across the People Directorate, wider organisation and ICS
  • Liaising with internal and external service providers
  • Maintaining accurate records, prepare documents, send invites, respond to queries and coordinate feedback and evaluation activities
  • Organising and planning events, arrange venues, facilities and hospitality (where appropriate) for events ensuring they are accessible, inclusive and run smoothly
  • Providing hands-on support on the day of events to ensure things run smoothly and resolve issues if any arise
  • Preparing supporting information material
  • Providing support for meetings ensuring the agenda, papers, minutes and actions are created, actioned and circulated as per the terms of reference of the group/committee
  • Ensuring all urgent and/or confidential communications are received and distributed from/to relevant parties in a timely manner
  • Supporting the Strategy/People/Healthy Careers Teams in project management and participating in department events
  • Inputting, monitoring and checking data, required for finite and ongoing projects
  • Working with all team members in the collection of information for performance reporting on relevant projects
  • Regularly running and collating statistical reports which may include reports to the Board and senior management as required
  • Supporting the Director of People Strategy/Deputy Director of Strategy with workforce planning administration and processes to ensure deadlines are met and accurate returns are collated and analysed from across the ICS
  • Supporting the Associate Director of Healthy Careers with administration for priority careers workstreams
  • Developing and maintaining effective electronic and paper filing systems, to ensure that information is kept securely and is accessible to other members of the team
  • Preparing agendas, taking minutes and distributing notes of meetings including typing up of group discussions and interviews as necessary
  • Working together with other administrators/PA’s across the ICS/CCG to provide an effective network of communication including dealing with visitors on site and being flexible to cover other administrators’ general duties as and when required

What training will the apprentice take and what qualification will the apprentice get at the end?

  • Level 3 Business Administrator Apprenticeship Standard 
  • Training will be at apprentices work place

What is the expected career progression after this apprenticeship?

  • Apprentices will be encouraged to apply for permanent or fixed term administrator roles within Surrey Heartlands ICS with potential to move into a Level 4 Apprenticeship programme
  • There are multiple routes available to individuals completing this apprenticeship, depending on their area of interest

Reality Check

These roles will require the applicants to work mainly from home, however, travel to an ICS/CCG office will be required as needed
