To provide an effective and confidential support to the Executive Support Team of St Leger Homes of Doncaster. To assist in providing an administrative service to the Executive Management Team and the Board of Directors by providing assistance in all required aspects.

Responsibilities

To provide an effective and confidential support to the Executive Support Team of St Leger Homes of Doncaster.

To assist in providing an administrative service to the Executive Management Team and the Board of Directors by providing assistance in all required aspects.

You will help deliver our corporate plan by:

  • Providing a high level administrative support in order that members of the Executive Management Team can provide strategic steer to the organisation
  • Build and sustain relationships with our partners for greater partnership working at a strategic level

To be a point of contact and reference for the Senior Management Team in order that the group can deliver its priorities.

As part of your day to day duties and responsibilities you will:

  • To provide general administrative support to the Executive Support Team in order to run effectively and fulfil its key objectives.  This will include processing of incoming and outgoing mail, general emails, upkeep of photocopier and kitchen arrangements
  • To provide direct administration support to the Chief Executive’s PA and Executive Support Officers
  • To assist in the organisation of Board and Committee meetings and the production of relevant information and paperwork in advance
  • To prepare meeting agendas and papers and take minutes of team meetings together with producing minutes
  • To manage the use of the Executive Suite meeting room facilities together with the provision of hospitality for visitors use
  • To welcome visitors to the Executive Suite ensuring they are served with refreshments and that any requirements they may have, are handled
  • To assist in preparing management information to agreed deadlines including setting up simple reports and queries, running reports and preparing statistics
  • To receive and assist with enquiries from staff and customers on all aspects of the service
  • To process incoming and outgoing post, ensuring items are allocated to the appropriate person in a timely manner
  • To arrange conference and travel bookings and provide information packs relevant to the arrangements
  • To maintain adequate stocks of stationery, materials and other items including sourcing materials and researching suppliers as required
  • To undertake research work and collate data from a range of sources, together with other such duties as may be arranged by Executive Management, Executive Support Teams
  • To build and maintain excellent working relationships with colleagues, managers, and service providers to ensure the effectiveness of the Executive Support Team

  • Work flexibly in the interests of the service – this may include undertaking other duties provided that these are appropriate to the duties and responsibilities of the post
  • The Safeguarding of children and adults is paramount to everything St Leger Homes delivers.  All staff are expected to undergo training and then to identify and report all safeguarding concerns through the appropriate channels

  • Full time role for the right candidate upon successful completion of the apprenticeship

Skills Required

  • Experience of using word processing, spreadsheet and database packages                                                  
  • Knowledge of the use of Microsoft Outlook
  • IT skills including the ability to utilise Microsoft Office
  • Good written communication skills including the ability to produce clear and concise information
  • Show ability to plan workloads and understand reasons for deadlines
  • Able to carry out simple calculations, check invoices and compile numerical data

Qualifications Required

  • 3 GCSEs or an equivalent qualification including GCSE A–C / 4-9 in Maths and English
  • A specific qualification relevant to Administration or IT

Training Provided

  • Full level 2 in Business Administration
  • Functional Skills as required
