Job Description

Connells are seeking an administrator apprentice to join their team! This is an excellent opportunity for the right candidate to undertake a Business Administrator apprenticeship.

Responsibilities

At Connells - Ipswich your main responsibilities will consist of:

Assisting with new starter inductions:

  • Gain Approval from DMD via email for New Starter. Chase if not received
  • Submit required New Starter information to CREDAS for Right to work Screening
  • Key in New Starter information into Zellis and submit to HR
  • Once DMD Approval received compose offer letter. KF to check this. Once KF signed off Letter to be sent to AD/AM for approval to issue
  • Once approval to issue received initiate onboarding via Zellis and issue Yoti Sign envelope (to include offer letter) to the candidate
  • Issue employee number to AD/AM and inform Divisional Trainer
  • Monitor onboarding progress and chase where required
  • Once all documents are back in from Yoti Sign upload to employees MyView. Including DMD Approval
  • Once onboarding at 100% inform HR
  • Update Probations and Headcount sheets
  • Update Commission system

Assist with the Change of Contractual Details (COCD’s):

  • Gain approval from DMD via Email for COCD. Chase if not received
  • Once approval received compose COCD Letter. KF to check. Once KF signed off Letter to be sent to AD/AM for approval to issue
  • Once approval to issue received issue letter to employee. If letter requires a signature chase this
  • Upload COCD form, Letter and DMD Approval to employees MyView
  • Process COCD via MyView (Post Transfer or Employee Changes)
  • Update Basic Increase spreadsheet if required
  • Update Commission system if required

Company Cars / Cash Allowance:

  • Chase required doc’s for CC or CA
  • Submit to fleet
  • Request car allocation from Fleet (Excluding Barnard Marcus) 
  • If Barnard Marcus log into pool fleet management and allocate a car

Leavers - PRIORITY PROCESSING:

  • When leavers form and employee resignation arrives pull the employee file and check if they are a salary debtor
  • If they are complete submit a debt calc to payroll
  • If they are not issue standard resignation acceptance letter
  • If they are issue salary debtor resignation letter
  • Upload leaver form, employee resignation letter and acceptance letter to employees MyView
  • Process employee as leaver via MyView
  • If after payroll cut off email payroll with doc’s informing them to process ASAP

Salary Debtors:

  • Once Debt calc is returned confirm NET debt and 1-13 for 14 days later
  • Once 14 days passed, if debt not paid submit to Debt Recovery

Probation passes / Extensions:

  • Write to AD 4 weeks prior to probation and query if extending
  • If not extending diarise to write to AD again 2 weeks before end date requesting permission to confirm
  • Confirm probation

Spreadsheet Maintenance:

  • Probations spreadsheet
  • COCD Basic increases sheet
  • Headcount starters and leavers
  • Employee addresses to be kept up to date
  • Profit share schedule to be kept up to date

Regional Admin Inbox:

  • Maintain inbox
  • Deal with ad-hoc queries
  • Process any and all paperwork that is sent there

At Connells - Ipswich you will be working towards a Business Administration Level 3 Apprenticeship standard over the course of 15 months.

Skills Required

  • Comfortable with Microsoft Word and Excel
  • Experience with a Data Entry type role advantageous but not necessary

Qualifications Required

GCSE Grade A* - C or Level 4 and above in Maths and English (or the equivalent).
