Job Description

The successful candidate will assist on reception and provide an outstanding level of service and administrative support to clients and colleagues.

Responsibilities

  • The effective processing of all incoming telephone calls including the logging of calls and the conveying of messages.
  • The provision of telephone support to partners and other staff members as required.
  • Dealing with all visitors to the reception area, especially new clients.
  • Administration of the printer / fax / scanner machine.
  • To ensure the tidiness of the reception area.
  • To undertake other clerical and administrative duties as may reasonably be required from time to time.
  • To ensure the confidentiality and security of the firms and clients documentation and information.
  • To prepare correspondence and documents through audio-typing and word processing.
  • To administer filing which will include daily filing and the opening, closing, storage and retrieval of client files in accordance with the detailed procedures contained in the Office Manual.
  • To prepare mail and enclosures for despatch.
  • To arrange for all copying to be done, in person if necessary.
  • To make appointments, arrange meetings and to maintain an up-to-date diary for his/her principal.
  • To prepare the Conference Room for meetings as necessary and for the tidying and clearance of the room at the end of the meeting.
  • To provide refreshments when asked to do so.
  • To provide support to other administrators as required.
  • To attend clients both in person and on the telephone and to provide such support in a professional and friendly manner in keeping with the firms standards for client care.
  • To undertake any specific training when required to do so and overall to have a responsibility towards self-development.
  • Prepare post for despatch.
  • Take special deliveries to the Post Office.
  • Act as relief administrator at any other offices.
